Privacy Policy

This document sets out Ergo’s commitment to protecting the privacy of individuals whose information we collect in the course of our business.

OBJECTIVES

Ergo Strategy Pty Ltd (‘Ergo’) ABN 11 086 390 392 is committed to privacy and the protection of personal information that we hold.

Ergo regularly conducts market research to support our consulting projects. All of our market research activities are conducted in accordance with the Code of Conduct of The Research Society.

Ergo is committed to treating all personal information collected according to the Australian Privacy Principles, and the Privacy Act 1988.

PERSONAL INFORMATION THAT WE COLLECT

We collect personal information from survey respondents and qualitative research participants. Information may be collected directly by Ergo Strategy or via third parties. In the case of a third party, the third party we understand will have obtained your consent to disclose this information for research purposes.

Information collected may include claimed usage of products and services, attitudes to brands and product categories, category needs, and profiling information such as demographics (sometimes including personal identifying information such as name, address, email, phone number or other contact details).

Personal information is used for the purpose of market research only. All personal information will only be collected if it is directly related to, or reasonably necessary for, the research we conduct.

In most cases, the information Ergo collects and uses is de-identified and therefore poses no privacy risks.

RESPONSIBILITIES

Wherever practical Ergo de-identifies the information it collects following the completion of the project.

Ergo does not pass on to clients or other third parties information given by respondents in the course of surveys, interviews or discussions, that has not been de-identified; unless express consent of the respondent has been given and the respondent has been informed about to whom the information will be passed.

Ergo regularly sub-contracts to data collection agencies and where projects involve contacting customers of a client, the data collection agency will need to have access to customer lists to carry out the interview. In these cases, the data collection agency will be required to comply with Ergo’s privacy standards and will be required to destroy or de-identify all personal information on completion of the project.

Ergo informs individuals of the purpose for seeking information and gains their consent to provide information.

Ergo only collects personal information for the purpose of market research (the primary purpose) and does not use this personal information for any other purpose. In particular, Ergo does not allow the use of personal information collected in the course of market research to be used for targeting individuals with sales or marketing activity.

Whilst Ergo is in possession of personal information that has not been de-identified:

·      It will be kept in a physically secure environment and on a protected network or computer

·      When transferring between Ergo and data collection agencies or client, all reasonable efforts will be made to keep data secure

Whilst Ergo is in possession of personal information that has not been de-identified, Ergo will promptly comply with requests by individuals to review their own personal information if requested and, if appropriate, correct such information. This can be done by contacting the privacy officer at the address given in this policy.

Ergo is unlikely to transfer personal information that has not been de-identified outside of Australia. If in the exceptional circumstance this is required, this will be done in accordance with the relevant APP.

Where Ergo seeks to collect sensitive information (racial or ethnic origin, membership of political association, religious beliefs or affiliations, philosophical beliefs, membership of a professional or trade association, membership of a trade union, sexual preferences or practices, criminal record or health information) this will only be done where the participant has provided explicit consent or is given a clear alternative to decline to provide the sensitive information sought.

TRAINING AND COMMUNICATION

All new and existing employees receive relevant training on how to implement and adhere to this policy.

POLICY REVIEW

This policy is regularly reviewed and may be amended if any significant changes to the Privacy Act or APPs, or TRS Code of Conduct warrant changes to this policy.

CONSENT TO COLLECT IDENTIFIABLE INFORMATION

Where Ergo collects information that is not de-identified or where the information collected could be linked to an identified individual, Ergo will obtain the individual’s consent to collect that information.

Where consent is not given, Ergo will not proceed to collect the information that is not de-identified or could be linked to an identified individual.
